Library Trustee Minutes 11.04.15

The Board Meeting for the Trustees of Brown Memorial Library was called to order at 6:05 p.m.
Attendance:  Sandy Wadlington, Connie Scheffy, Mary- Chris Duncan, Nola Jordan, Garry Kalajian, Meg Fearnley, Peter Blank (guest) and a short visit from Janet Bauer.
1. The first order of business was a discussion with Janet Bauer who was invited to the meeting to offer her thoughts for the most meaningful use of  donations to the library in memory of her mother,  Barbara McCartney.
2. The secretary’s report was presented from the October 7, 2015 meeting. A motion was made and passed to accept October minutes.
3. The treasurer’s report was presented for October. Donations were as follows: ongoing book sale, $131.00, book replacement, $29.35, and McCartney memorial $10.00 for a total of $170.35. A motion was made and passed to accept October donations.
4. The high expenditure for Maintenance in October was due to the necessity of replacing furnace items related to a malfunction of the furnace expansion tank.  A motion was made and passed to accept the treasurer’s report for October.
5. The librarian’s report was presented. Total circulation numbers were slightly up from last month while still lagging behind previous years. The Halloween program was a tremendous success, resulting in 500 additional patrons.
6. Under old business, a draft budget was presented with no increase from last year’s budget on all but two items. There were modest increases under utilities for the increased cost of electricity, and under payroll expenses, reflecting a 2% raise for all employees. In addition, the loss of lower paid staff has necessitated increased hours for some higher paid employees. A motion was made and passed to accept the draft budget.
7. Continuing with old business, it was determined that a fiberglass exterior door would the best choice for replacing the Church Street door, as it is a very wet area. Trustees will continue looking for someone to replace the existing door.
8. In the old business of obtaining overhead LED lighting, there is a Municipal Smart Start program offered by Eversource that the library may qualify for in 2016 that would help with costs. Eversource will call with more information. It was determined that there are 92 bulbs to replace upstairs, including 20 8 ft. fixtures with 4 bulbs each, and 6 4 ft. fixtures with 2 bulbs each.
9.Peter Blank has graciously agreed to complete the second year of the unexpired term of Erica Gross, who has resigned her position. A letter will be written to the Board of Selectmen requesting his appointment to the position.
10. Under new business, the library will be closed on Wednesday, November 11 in honor of Veteran’s Day and will close Wednesday November 25 at 2:00 pm.
11. The Friends of the Library will be sponsoring an International Game Day on Saturday November 21, from 11:00 a.m. until 2:00 p.m.
The next meeting will be help on December 2, 2015 at 6:00 p.m.
There being no further business, the meeting was adjourned at 7:00 p.m.
